Posting Payroll Entries

Purpose: 

This help doc explains the posting payroll tab. When a payroll entry is posted to a third party for processing/payment, you can reflect that change in the HR Admin area of the intranet. This helps keep track of what entries have been sent over and which still need to be.  There are two ways to mark a Time-Off request as posted.

There are two ways to do it. The first is done by selecting an individual and the second way allows you to post them in bulk.

Posting Individual Entries from within an employee's profile

  1. Log into the MAL Intranet
  1. (For testing purposes, go to: http://stage-users.liebertpub.com/default.aspx because these changes are only available in the staging environment until they are approved and published.)
  1. Under the main navigation go to Human Resources > Administration > Browse all Employees

A listing of employees will appear. Select the employee whose time off you wish to edit and click their name to access their records:

On the next page, click the Payroll/Posting tab:

Scroll down to the Unposted Requests section. All unposted requests for this employee will be listed there. Once you have keyed those entries into the third-party system, click the Post All button.

The page will reload with the Time-Off Info tab open. Scroll down to the Abscences Information section, and you'll see all the posted requests for this employee.

The posted column shows whether the entry is posted or not. The green YES icon means an entry is posted. A red NO icon means it is not.

Viewing and Posting All Unposted Entries

Go Human Resources > Administration > Unposted Requests:

The following screen will appear:

From this screen, you can sort by All Employees or use the drop down to scroll down to the employee whose entries you wish to edit. You can also filter by department, reason (sick, vacation, etc). Once you have the query set up the way you need it, select a date range then click the Generate button. The results of your search will appear below the selection boxes:

Posted entries display in green shaded boxes. Yellow shaded boxes mark the unposted entries.

To export this list to an excel spreadsheet, click the Export to Excel button.

When all of the entries have been posted to the third-party payment system, click the Post All button.  A message will appear:

If you clicked the Post All button by accident, click the Cancel button, and it will return you to the list of unposted entries you generated in the previous step.

Click the OK button if you're certain you want to mark all the entries on screen as posted, and all the entries will move the unposted to the posted column:
