Edit Project 

  • Takes you to the edit project screen

Upload Files 

  • Goes to a file upload screen for adding additional files to the project 
    • After the files are uploaded, a note is added to the project and an email is sent to everyone on the project.  

View/Add Notes 

  • Add note  
  • Goes to a screen listing all the notes 
    • It has the following options:  
  1. Add note 
    • Takes you to another screen where you:  
      •  can input a note  
      • mark it private (only visible to members of IT)
  2. Notes button
    1. it's grayed out unless you're in the change log
    2. Clicking it, brings you back to the notes screen
  3. Change log 
    1. Hide notes and shows only system notifications about the project such as files uploaded, due date changes, etc.  
  4. Back to project
    1. Takes you back
  5. Save to excel
    1. downloads the notes to an excel sheet:
  • Each note includes 
    • Date + time 
    • Who left the note 
    • Ability to sort the notes by date submitted and submitted by
  • Each note has the following options:  
    1. Edit 
    2. Flag (highlights the note in yellow) 
    3. Add task 
      • Takes you to another screen where you can add a task 
      • The note is added into the task description and it sets the Task name to Bug Fix.  
  • Clicking the ‘add task’ button will:  
    •  assign the task to the assignee  
    • put the task in the list on the task management screen  
    • put the task on the dashboard of assignee  
    • send an email to the person the task was assigned to 

It also amends the note that was assigned a as a task:

Approvals

  • Click approvals to send an approval request
  • you will be taken to a new screen
    • enter a url or select a file to request approval for
    • Select who the approval request will be sent to
    • include comments if necessary
    • Click cancel to leave this screen and delete the request

Clicking the send request kicks off the following process:

  • puts the approval request on the dashboard of the person the approval was sent to with voting buttons  
  • puts the approval request on the dashboard of PMs
  • send an email to the person the person the approval was sent to with the following buttons:
  • Load URL
  • Approve URL
  • when clicked, the approve button launches a new window and asks if the user wants to approve this file.  
    • If you click okay, a new window opens with a comment box. Click the log & send message button to approve this request or cancel if you need to return to the previous screen.  
    • If approved, an email is sent to the requester letting them know the request was approved
    • a note is added to the project with the date of approval and the approval itself plus any comments that were made on the approval screen. 
    • If you click the cancel button, you return to the dashboard.   
  • A reject button 
  • when clicked, a dialog box appears reminding the user to specify the corrections needed for approval. There are two buttons okay and cancel.  
  • Clicking okay will open a new window with a comments box, a cancel button and a log & send message button.  
  • Clicking submit will send an email to the requester that the approval request was rejected and place a note in the associated project that it was rejected and why.  

Close Project

Clicking Close Project (1) pops up a box (2) asking if you want to close this project and mark it as completed [OK] [Cancel]

Next, you're taken to a screen (3) asking for the hours the PMO spent on it and to identify the property the project was for

 

Clicking the continue... button closes  the project and changes its status to Completed if there are:

  • no outstanding approval requests
  • no open tasks

  • button to view all notes 

Assets

  1. Click on a file to download it
  2. Upload file button 
  3. This area shows:
    1. the name of the uploaded file
    2. its file Size 
    3. Date + Time Saved 

Delegated Project Tasks 

This are shows the:

  1. Task name 
  2. Who its assigned to 
  3. the task's due date 
  4. its status
